Frequently asked questions
How many user licenses do I need for my platform subscription?
You pay user license fees only for your clinical resources (e.g., nurses, therapists, caregivers, etc.) that will be scheduled or receive messages through the application. There is no user license fee for office staff (schedulers and administrators).
What type of preferences can I add to the scheduling algorithm?
We have an extremely flexible preferences system. You can create and apply any number of custom preferences to patients, clinicians, or event types. In addition, you can make them required (hard constraint) or preferred (soft constraint). This flexibility allows you to customize the recommendation scoring algorithm to best suit your organizational goals.
Can the software order my visits to reduce drive time?
All subscription plans include Optimized Visit Ordering. This optimization process re-orders each clinician's visits to reduce the amount of drive time, fuel, and mileage. It also honors any time windows or pre-scheduled appointments and fits the rest of the visits around these constraints.
Can I schedule recurring visit reminder calls?
The Communication Hub is a highly configurable module designed to handle nightly visit reminder calls, as well as other use cases such as one-time "bad weather" cancellations. Calls can be highly targeted, including language, to specific groups of patients or staff.
What is the difference between Timeslot Search and Multi-day Timeslot Search?
Basic timeslot search quickly recommends resources/times for a specific date and provides info about each pairing (such as distance to the prospective new patient). This feature can assist with your intake process or scheduling an assessment visit. Multi-day timeslot search helps identify the best resource for a recurring set of visits. This is helpful when continuity of care is a priority.
Do I need the Routing Data Hub?
When real-time recommendations are made (e.g., Best Fit, Fleet Scheduling), there are potentially millions of leg distances required to complete the calculations. In the Basic and Pro plan, the distances and times between locations are estimated based on straight-line travel. Most customers find this acceptable, especially for relative comparisons between clinicians. In contrast, the Routing Data Hub option pre-calculates and stores all the exact driving distances and drive times. This feature allows for the most accurate recommendation results since the calculations are based on actual driving data.
Can the software talk to my EHR to get the data?
Under the Max subscription plan, we offer the option of custom integration services at an additional charge. We have experience integrating with a number of off-the-shelf and custom EHRs, and we would be happy to discuss how we can integrate with your systems.
